
Inventory Specialist (P/T)
Core Responsibilities
Physical Inventory Management
Tag, photograph, and catalog costumes and props
Maintain an organized, accessible storage space
Follow established intake, check-out, and return procedures
Conduct periodic inventory checks for accuracy
Monitor item condition and communicate cleaning/repair needs
Digital Inventory Management
Enter inventory items into the online database/CMS
Maintain consistent naming conventions and categorization standards
Upload photographs and accurate descriptions
Ensure the digital system reflects real-time inventory status
Completion & Accountability Standard
Inventory tasks are not considered complete until the item has been:
Tagged
Photographed
Fully entered into the online database
All three steps must be completed during the same work session unless otherwise approved. Maintaining alignment between physical inventory and digital records is an essential responsibility of this role.
Rental Support
Assist with preparing rental items for pickup
Track rental check-outs and returns
Inspect returned items for condition
Support ongoing rental workflow as the program grows
Qualifications
Required
Experience in theatre production (costumes, props, stage management, or related field)
Strong organizational skills and attention to detail
Comfort working with spreadsheets, databases, or CMS platforms
Ability to work independently and complete tasks fully
Ability to lift storage bins and costume racks
Preferred
Experience with Wix or other website CMS platforms
Familiarity with garment terminology and costume styles
Experience photographing items for documentation
Compensation
$19/hour, 10–20 hours per week with regular set hours and flexible hours to accommodate renter inquiries. Formal performance review after 90 days with potential increase to $20/hour based on demonstrated reliability, system accuracy, and completion benchmarks.
